SALES ADMINISTRATOR

T H WHITE is recruiting for a Sales Administrator to support the Construction Machinery business across the Stourport and Marlborough depots. This role requires processes to be followed in a timely and accurate manner, to ensure equipment is ordered from suppliers, invoiced to customers and stock is recorded correctly. The role requires regular collaboration with the wider sales administration team, and supporting sales as required.

Hours:

Monday to Friday, Full time.

Key Duties will Include:

  • A wide range of administrative duties, including reception / general admin for depot and division
  • Ordering of machines from suppliers and creation of whole goods in Ibcos GOLD (Dealer Management System).
  • Allocation of whole goods to customers on receipt of Sales Deal sheet, plus creation of the trade in as required including HPI check.
  • Review customer accounts ensuring that set up for self-billing invoices and VAT registered.
  • Set up of cost lines against whole goods (PDI, bonuses) prior to invoicing to ensure that an accurate reflection of the true cost of sale is recorded.
  • Booking in of whole goods on receipt of delivery notes. Liaising with finance.
  • Processing of invoices/credit notes from suppliers and storage on to electronic doc store.
  • Invoicing of new and used whole goods including road registration as required.
  • Liaising with finance companies & Group office finance department to confirm receipt of customer payments, and updating weekly sales and GP reports
  • Support sales team with documentation required to complete the sales process, and taking ownership of deal managing the process to completion
  • Dealer Management System data input, analysis and reporting.
  • Support with month end activities.
  • Monitor and support warranty administration.
  • Supporting the sales team as required
  • Work with Construction Sales Director on projects and support of sales team
  • Providing occasional support to the management team, sales team, and other site employees

The Ideal Applicant:

• You will be a team player

• You will be IT literate, and possess good numeracy and literacy skills
• You will have an excellent appreciation for developing and following processes
• You will be flexible and able to quickly change between task or situation.
• You will be highly organised with a keen eye for detail, good at prioritisation / organisation.
• Knowledge of Construction machinery / similar administration would be an advantage
• Full UK Driving Licence
